What are Workflows?
A Workflow is a series of publishing milestones that dictate when content gets published to the website. Having an effective Workflow in place is important for ensuring that only web-ready content gets published. When Workflows are set up correctly, assets will be set to Do Not Publish when created, and can then be either promoted or demoted by each staff member assigned to that workflow.
When an asset graduates the final milestone, it will can be made available online.Multiple Workflows may be created as needed.
How to Create a Workflow
Within the Manage asset editing workflows panel, Select +New to populate the Edit Workflow panel.
Next, select +Add to create the first process in the workflow.
Process name: Create a meaningful name for the process. Initial workflow processes should be named with First Draft or Reporter, while later processes could be called Final Draft, Editor, Web Ready or Ready for Print.
Group: Assign the process to a specific User Group (if applicable).
Ready for print: Enable this option to allow this process to publish to print. This option should be reserved for the last process of the workflow.
Ready for web: Enable this option to allow this process to publish to the web. This option should be reserved for the last process of the workflow.
Block Syndication: Enable this option to block syndication of an asset while it's occupying this process.
Reset start time: Enable this option to reset an asset's start time to the current date and time when it enters this process.
Site Tags: Site tags are a legacy function and are no longer used.
Select OK to finalize the process. Next, complete any subsequent processes to complete the Workflow.
Workflows may be edited or removed by utilizing either toolbar option.
Preparing BLOX Editorial Assets for Workflows
By default, Editorial assets created within BLOX are automatically set to the current date/time and once saved, they're immediately available on the website. In order to take advantage of using Workflows, assets will need to be set to a Do Not Publish status once saved. This can be accomplished within Editorial Assets by navigating to the Application Settings panel and then enabling the Disable publishing on new assets option within the General panel.
Preparing BLOX User Preferences for Workflows
All assets that a particular admin user creates can be set to a specific Workflow automatically within the User Preferences. The User Preferences can be accessed by selecting the "Logged in as" email in the upper-right corner of the admin, and then selecting Preferences > Default asset workflow. This will populate a Default asset workflow panel where a default workflow can be selected. Select Save changes to finalize the workflow.
How to assign a Workflow to an asset
Within an asset, locate the Workflow panel within the Other tab. Select the Workflow and Process and then select Save to finalize the asset. Once the first process of the workflow has been added, both Promotion and Demotion options are available within the asset Save menu.
